Preparing Your Spreadsheet for Copilot

To get the best results from Copilot, your spreadsheet should be saved as an .xlsx file in OneDrive or SharePoint. If you’re using the Excel desktop app, make sure AutoSave is turned on so changes are saved automatically. Organizing your data in a table format is highly recommended, though not strictly required. Tables help Copilot understand your data better, leading to more accurate suggestions.

If your data isn’t already in a table, you can easily convert it. Select the relevant cells, then click Insert > Table on the ribbon toolbar. Properly formatted tables allow Copilot to analyze your data more effectively, whether you’re asking it to generate summaries, create visualizations, or perform calculations.

Using the Copilot Sidebar and Commands

To interact with Copilot, open the Copilot sidebar by clicking its icon on the right side of the Home tab in the ribbon. A chat box will appear where you can type your requests or choose from suggested prompts. Once you submit a prompt, Copilot processes it and displays the results directly in the sidebar.

You can refine these results by typing additional prompts. This makes Copilot a flexible assistant, helping you customize outputs or perform specific tasks like data cleaning, generating insights, or creating charts. The interface is designed to be user-friendly, so even those new to AI tools can quickly learn how to leverage its capabilities.

Activating Agent Mode for Direct Changes

By default, Copilot does not modify your spreadsheet directly. However, there is an option called Agent Mode that allows it to make changes automatically. To enable this, open the Copilot sidebar, click the Tools icon (which looks like sliders), and select Agent Mode.

Activating Agent Mode is useful when you want Copilot to perform more complex edits, such as restructuring data, applying formatting, or updating formulas without additional prompts. This mode streamlines workflows and saves time on repetitive tasks, making Copilot a powerful partner for managing large or complex spreadsheets.
