The company is shifting from a simple app list to a more unified, smart system that makes it easier to access its 50-plus apps. This redesign focuses on helping users find what they need faster and work more smoothly across different tools.

What’s New in Zoho One’s Interface

The biggest update is the new user interface, which now uses “Spaces” to organize apps and tools. Think of Spaces as different work zones. There’s a “Personal” Space for individual tools like personal productivity apps. Then, there’s an “Organization” Space for company-wide stuff like forums, town halls, and idea-sharing platforms. Plus, there are specialized Spaces for departments like HR, making it easier for teams to find what they need.

All these Spaces can be customized. Employees can set them up to suit their workflows. From the top toolbar, users can switch between Spaces and quickly search for anything across the company. The search is powered by Zoho’s AI assistant, Zia, which provides smart, context-aware results. There’s also a new Action Panel that helps users plan their day. They can see upcoming meetings, tasks, emails, or anything else from any app, all in one place.

Better Organization and Collaboration Tools

Within each Space, apps are arranged into Boards. These Boards let users track tasks, notes, or projects across different apps without switching tabs. For example, a team can view their project plan, emails, and notes all in one place. Zoho also introduced Vani, a new app that acts as a visual workspace. It’s designed for brainstorming, planning, and collaborating visually, making teamwork more interactive and creative.

Zoho One isn’t just about internal apps. It also supports integrating third-party tools like Gmail. Raju Vegesna, Zoho’s chief evangelist, explains that instead of users having to open multiple apps, Zoho brings the apps to them, providing a seamless experience. This approach makes Zoho One feel like one big app, even though it’s built from many smaller ones. It’s a work in progress, but the goal is to give users a cohesive, integrated platform.

Why Larger Businesses Should Take Notice

Most companies using Zoho One operate around 22 apps out of the 50-plus available. These include essential business tools like CRM, HR management, sales, marketing, helpdesk, finance, payroll, and security. Zoho boasts more than 75,000 customers worldwide, from small businesses to large enterprises like Telus, a telecom giant.

Thomas Randall, a research leader at Info-Tech Research Group, says the new Zoho experience is a much-needed upgrade. “Zoho One’s new unified experience is a big step forward,” he notes. He explains that Zoho’s wide range of apps has historically been both a strength and a challenge. Users often felt overwhelmed by a sprawling catalog. The new workspace helps guide workflows and reduces app silos, making it easier for users to get things done.

Although Zoho is known mostly among small and medium businesses, Randall points out that larger companies are starting to take notice—especially for CRM solutions. He adds that Zoho’s investment in owning its data infrastructure and offering flexible deployment options makes it attractive for bigger organizations. Its affordability, streamlined experience, and growing AI features make Zoho One a serious contender for enterprise use.
