How to Customize Google Gems for Your Workspace Workflow
Imagine having a smart assistant that knows your work style perfectly. One that can handle repetitive tasks and stay aligned with your company’s brand and processes. That’s the idea behind Google’s Gems, a feature of their Gemini chatbot embedded in Google Workspace apps. Gems let you create personalized AI helpers tailored for specific tasks or expertise, making your work smoother and more consistent.
How Gems Expand Gemini’s Capabilities
When you use Gemini in Google Workspace, you typically interact through a sidebar in apps like Docs or Sheets. You type in a prompt or request, and Gemini responds with text, summaries, images, or videos. For example, you might ask it to summarize a lengthy document or generate content based on your input. However, Gemini doesn’t remember past conversations, so you need to provide background information each time you ask for the same task.
This is where Gems come in. Gems are customized versions of Gemini designed for specific functions or areas of expertise. Think of them as personalized macros or scripts. You can set up a Gem to perform complex tasks like drafting meeting summaries in a particular style or generating marketing content aligned with your brand. Once a Gem is created, you can use it repeatedly without re-entering instructions, saving time and ensuring consistency.
Gems can also be more interactive and smarter. For instance, a marketing-themed Gem could have detailed knowledge about your industry, products, and style guidelines. You could then brainstorm ideas or develop copy directly with this AI helper, which understands your needs and context much better than a generic prompt.
Using and Customizing Gems in Google Workspace
Google offers several premade Gems that you can use right away. These are accessible in the Gemini sidebar across Workspace apps. To get to them, click the star icon in the top corner of your app to open the Gemini panel, then scroll down to find the Gems section. There, you’ll see a few default options like Brainstormer, Career guide, Learning coach, and Writing editor. Selecting one opens prompts you can use to activate the Gem’s functions.
In the Gemini web app, you access the Gems manager by clicking the menu icon and choosing Explore Gems. There, you’ll see a selection of premade Gems and can try them out by clicking on one. You can also type your own prompts in the chat box to interact with the selected Gem, creating content or asking for help. The mobile apps for Android and iPhone work similarly, letting you explore and activate Gems on the go.
If you want to customize a premade Gem, you need to do it through the Gemini web app. First, make a copy of the Gem you want to change. You do this by clicking the three-dot menu on the original Gem and selecting Make a copy. This creates a duplicate that you can edit freely. Once copied, you can edit its name and instructions – the core directives that tell Gemini how to behave when you activate that Gem.
Writing instructions for a Gem can be detailed. Think of describing the professional persona you want Gemini to emulate. For example, you might specify the tone, style, and format you prefer for certain tasks. The instructions can include step-by-step actions and background info, ensuring Gemini acts exactly as you need every time you use that Gem.
Building Your Own Gems and Best Practices
Creating your own Gems from scratch is also possible, but it requires a bit more effort. You start by opening the Gem manager in the web app and selecting the option to create a new Gem. Here, you give your Gem a clear name and write detailed instructions. The key is to be specific about what you want Gemini to do, how it should behave, and any particular style or guidelines to follow.
For example, if you want a Gem that drafts social media posts in your company’s voice, you’d specify the tone, the format, and the types of content to include. The more precise your instructions, the better Gemini can replicate your expectations. Over time, you can refine your instructions to improve the results, making your AI helper a true extension of your team.
Whether you customize premade Gems or create your own, the goal is to make your AI assistant more efficient and aligned with your needs. This way, you can handle routine tasks quickly, ensure brand consistency, and free up time for more strategic work. Gems turn Gemini from a general AI into a personalized productivity partner, tailored specifically for your workflow.
As Google continues to develop these tools, the potential for personalized AI helpers in everyday work is growing. With Gems, you’re not just using AI—you’re shaping it to fit your unique business style and routines, making your digital workspace smarter and more responsive to your needs.
