The NHS is rolling out Microsoft 365 Copilot to over 500,000 clinicians and support staff across England. This is the largest AI deployment in healthcare anywhere in the world. The goal is simple: save time spent on paperwork and give it back to patient care.

The move follows a trial involving 30,000 NHS workers in 90 organisations. On average, each user saved 43 minutes daily on administrative tasks. That adds up to roughly five weeks of work saved per year for each staff member. NHS England estimates this could free up the equivalent of 3,600 full-time roles to focus on patients once the rollout is complete.

Microsoft 365 Copilot is integrated into apps many NHS workers use every day, like Word, Excel, Outlook, and Teams. It helps with drafting letters, summarising meetings, managing schedules, and analysing data. This means less time typing and clicking, and more time doing what really matters.

Streamlining Healthcare Admin

Administrative work takes a big chunk of NHS staff time. One study found resident doctors spend four hours on admin for every hour with patients. Others report clinicians spend over 13 hours a week on documentation, which has grown 25% in seven years. This workload impacts care quality and staff wellbeing.

Copilot aims to tackle this by assisting with tasks like patient discharge summaries, rota planning, bed management, and meeting minutes. Even HR, finance, procurement, and management teams will use it to generate reports and analyse data faster. The AI can summarise, draft, and organise information, reducing repetitive steps.

Health Innovation and Safety Minister Preet Kaur Gill said the tool helps staff focus on caring for patients, not paperwork. Rob Thompson, NHS England’s Chief Digital Officer, called the time saved a “gamechanger” that could shorten waiting times and boost care quality. Microsoft UK CEO Darren Hardman added that AI will ease pressure and support better decisions throughout the NHS.

Challenges and Next Steps

Despite the promise, the rollout faces challenges. The 43-minute time-saving figure comes from NHS data, but the exact methodology isn’t public. Different roles will benefit differently; some may save more, others less. The NHS workforce is huge and varied, with many staff less comfortable with digital tools.

Training is critical. NHS England plans an extensive adoption program to ensure staff know how to use Copilot well and safely. Past deployments in private companies show training and community support boost usage. The NHS will need to build internal AI champions to help others learn.

Data privacy and security are also top priorities. Copilot keeps data within NHS systems and does not train AI models on patient information. Still, users must watch for errors. AI can make mistakes or miss nuance, so staff must verify outputs before using them. Medical bodies warn AI should not replace proper staffing or care.

The agreement also includes Copilot Studio, which lets NHS teams build custom AI agents. These can automate specific tasks like speeding up helpdesk answers or managing complaints. Agent 365 ensures these AI tools follow NHS rules and data policies. This flexibility allows trusts to tailor AI to their unique challenges.

Financially, the deal is worth around £120 million, covering licenses and agent tools. This is a big investment in digital transformation. The NHS expects to onboard 200,000 users within six months, and complete rollout by October 2026. If successful, this model could influence AI adoption in other public services.
